The Greenwich Village Games Organising Committee (Organising Committee) collects personal and sensitive information from Participants, both directly and through the Games teams, for the Games.


what kinds of personal and sensitive information do we collect and hold?

We collect and hold:
• your contact details, such as street addresses, telephone numbers and email addresses;
• your personal details, such as age, gender, T-shirt size, and event preferences;
• your browsing history on the Greenwich Village Games website and linked social media; and
• records of your communications and interactions with us.

We may also collect your credit card details at the time of any payment you make to us for the Games entry fees, T-shirt fees, team fees or other Games charges.  We use those details only for that payment transaction and we do not store them.

“Your” and “you” includes any minors, family members and others included in your application for registration.

In this Privacy Policy we refer to this information as your personal information.


how do we collect and hold your personal information?

We generally collect your personal information directly from you or when you use the Greenwich Village Games online registration system, or Greenwich Village Games website or Greenwich Village Games social media (including Team Facebook pages).  Sometimes we collect your personal information from the records kept from previous Games.


what would happen if we did not collect your personal information?

Without your personal information we would not be able to process your application for registration or allocate you to a team or an event, and so you would not be able to participate in the Games.


what are the purposes for which we collect and hold your personal information?

We collect and hold your personal information to enable us to arrange and stage the Games, including:
• designing and promoting the Games;
• administering the registration of Participants;
• allocating Participants to teams and events;
• providing information and updates to you and other Participants about the Games;
• conducting Games events;
• arranging Games facilities; and
• facilitating safety arrangements.

We may also use your personal information to produce statistical information about the usage of the Greenwich Village Games online registration system, website and social media to facilitate improvements.


use and disclosure of your personal information

We will use and disclose your personal information to Games officials, team and committee members and other competitors as reasonably necessary to arrange and stage the Games, including for Games training sessions and social events.

We will not disclose your personal information to a third party (including overseas) without your consent unless:
• it is reasonably necessary for one of the purposes described above;
• having regard to the nature of the information or the circumstances of collection we believe you would expect us to use the information or make the disclosure; or
• we are required or authorised by law or a government agency to do so.

Unless you advise otherwise we may retain your personal information after the Games have completed in any particular year so that it is available to the Organising Committee for the arrangement and staging of any future Games.

We take reasonable precautions to protect the personal information we hold from misuse, loss, unauthorised access, modification or disclosure.

While we take all due care in ensuring the privacy and security of your personal information, the possibility exists that this information could be unlawfully intercepted while in transit over the internet or while stored on our systems or on our website, or through human error.  We disclaim all liability to you to the greatest extent pursuant to law should this occur.

Please note that any information that you post in our public forums and any social media interfaces is public information and will not be treated as confidential.  Such information can be collected and used by others.  Please be careful and responsible when you are online.

This Privacy Policy only applies to the Greenwich Village Games online registration system, website and social media, and does not apply to any linked websites or other social media.


rights to access and correct your personal information

You have the right to access your personal information unless we are permitted by law to withhold that information.  Any requests for access to your personal information should be made to the President of the Organising Committee in writing.

You also have the right to request the correction of any of your personal information which is inaccurate.  Any corrections should be advised to the President of the Organising Committee in writing.

We utilise cookies which enable us to monitor traffic patterns and the site to respond more efficiently if you revisit.   A cookie does not identify you personally but it does identify your computer.  You can set your browser to notify you when you receive a cookie and this will provide you with an opportunity to either accept or reject it in each instance.


further information and complaints

If you require any further information about our management of your personal information or have a complaint about our handling of your personal information, you should initially write to the President of the Organising Committee who will respond to you within a reasonable time, usually 30 days.

If you are not satisfied with the outcome of your complaint you may contact us further to advise us of your concerns and, if we are unable to reach a satisfactory resolution, you may write to the Public Officer of the Lane Cove Council for further review of your complaint.
